A growing company can usually tell when its sales process needs work, when it needs another employee, or when a larger office is becoming necessary. IT infrastructure is different. Problems often stay invisible until something stops working: a shared drive disappears, a staff member cannot access an application, a server reaches capacity, a laptop is lost, or a security incident locks people out of critical systems.

That is why an IT infrastructure checklist should be more than a list of equipment. The useful question is not simply whether a company has computers, Wi-Fi and cloud software. It is whether those systems are documented, secure, recoverable and capable of supporting the next stage of the business.

For Canadian businesses, that means looking at infrastructure as an operating system for the company itself. The checklist below focuses on the areas that deserve attention before growth turns an informal setup into an expensive problem.

Start with an inventory, not a shopping list

Before buying new hardware or moving another application to the cloud, make a basic inventory of what the company already depends on.

List laptops and desktops, phones and tablets, network equipment, printers, servers, cloud applications, domains, websites, email accounts, storage locations, databases and business-critical software. Include systems managed by outside vendors. The Canadian Centre for Cyber Security recommends identifying the information systems and assets that fall within an organization's scope rather than treating infrastructure as only the equipment physically owned by the company.

For each important system, record who owns it, who administers it, where it is hosted, what information it contains, how users access it and what happens if it becomes unavailable. This document quickly exposes a common problem: nobody is quite sure who controls a particular account or how an important system would be restored.

A growing business should also review this inventory periodically. New SaaS subscriptions, contractors, remote workers and acquisitions can add technology faster than anyone updates the documentation.

The network should support the business, not become its bottleneck

A reliable office network is still important even when much of the company's software runs in the cloud. Employees need dependable internet access, secure Wi-Fi, appropriate network segmentation and equipment that can handle the organization's actual workload.

At minimum, check the business internet connection, router, firewall, switches, wireless access points and backup connectivity. Consider what happens if the primary internet connection fails during a busy workday. For a company that processes payments, runs a warehouse, handles customer calls or depends heavily on cloud applications, a few hours of downtime can matter more than the monthly cost of a backup connection.

Security belongs here too. The Canadian Centre for Cyber Security recommends basic perimeter defences such as firewalls and DNS protection, along with secure connectivity for remote access.

Cloud accounts need ownership and structure

Cloud migration does not eliminate infrastructure management. It changes where the infrastructure lives.

Each should have a clear business owner, appropriate administrator accounts, documented recovery procedures and sensible access controls.

Review where websites and applications are hosted, how backups are handled, whether SSL certificates are managed properly, how domains are renewed and who receives renewal notifications. Security belongs in the infrastructure plan from day one

Security should not be treated as an add-on that gets purchased after the rest of the infrastructure is finished.

Start with identity. Use strong authentication and enable multi-factor authentication for important accounts, especially administrator, financial, cloud administration and other privileged accounts. The Canadian Centre for Cyber Security identifies strong user authentication, patching, backups, secure configurations and incident response among its baseline controls for Canadian small and medium organizations.

Then review endpoint protection, software updates, firewall configuration, remote access, employee permissions and device security. A laptop that has access to financial systems should not necessarily have the same permissions as a temporary contractor's device.

Access should also change when people's responsibilities change. Former employees should not retain active accounts, and administrative privileges should be limited to people who genuinely need them.

Backups are only useful if recovery works

“We have backups” is not the same as “we can recover the business.”

A proper infrastructure review should identify what is backed up, how frequently it is backed up, where copies are stored, how long they are retained and who is responsible for restoring them. Critical information may include accounting data, customer records, databases, documents, website files, email and application data.

Backups should also be tested. A backup job that reports success but produces an unusable restore is not a recovery strategy.

The Cyber Centre specifically recommends backing up and encrypting data as part of its baseline controls, and its guidance encourages organizations to plan for detection, response and recovery rather than assuming security incidents will never happen.

Write down the recovery process. If the person who normally handles IT is unavailable, someone else should know what systems need to be restored first and who to contact.

Devices need a lifecycle, not just a purchase date

Hardware becomes an infrastructure problem when nobody knows when it should be replaced.

Maintain a simple record of company devices, including purchase date, operating system, warranty status, assigned employee and replacement target. Aging equipment can become difficult to patch, unreliable under normal workloads or incompatible with newer software.

Standardizing hardware where practical also makes support easier. If ten employees use ten different laptop models with different operating systems and accessories, troubleshooting becomes unnecessarily expensive. Standardization does not mean every employee needs identical equipment; it means the business should have a deliberate reason for the equipment it supports.

Mobile devices deserve the same attention. Remote and hybrid employees can access sensitive company information from homes, hotels, airports and public networks. Device encryption, screen locks, secure authentication, remote management and appropriate access controls should be part of the baseline.

Business applications should fit together

Growth often creates software sprawl. One department adopts a CRM, another uses a separate project-management platform, finance works in an accounting system, and operations keeps important information in spreadsheets. Each application may work well by itself while the overall system becomes harder to manage.

Review the major applications annually. Ask which systems are essential, which overlap, which contain sensitive information and which need to exchange data. If employees repeatedly copy information from one application into another, that may be a sign that automation or a custom integration would be more useful than another standalone subscription.

Do not leave incident response until after an incident

Every growing company should know what happens when something goes seriously wrong.

Who decides whether systems should be disconnected? Who contacts the IT provider? Who communicates with customers? Who handles legal or privacy obligations? Which systems are restored first? Where is the incident response plan stored if the company's normal cloud systems are unavailable?

The Cyber Centre recommends a written incident response plan with defined responsibilities and contact information, including arrangements for external assistance when an organization cannot manage an incident on its own.

The plan does not need to be a massive document. It needs to be usable under pressure. Test it occasionally, update contact information and record lessons learned after significant incidents or infrastructure changes.

When the checklist starts looking like a second job

There is a point where infrastructure management becomes too broad for an owner or a small internal team to handle alongside normal business responsibilities. That does not automatically mean hiring a large internal IT department.

The Canadian Centre for Cyber Security notes that organizations can use managed service providers or cloud service providers to remotely manage or host parts of their IT infrastructure, including monitoring and patching, with services that can scale according to organizational needs and resources.

The practical decision is to identify which responsibilities need internal ownership and which can be handled by a specialist. A company may keep strategic technology decisions in-house while outsourcing monitoring, backups, endpoint management, cloud administration or routine support.

Use this list during an internal review. It is deliberately straightforward.

  • Asset inventory: Do you know every important device, application, server, cloud service and account the business depends on?

  • Identity: Are administrator accounts controlled and multi-factor authentication enabled for important services?

  • Endpoints: Are laptops, desktops and mobile devices patched, protected and tracked?

  • Backups: Are important systems backed up, encrypted where appropriate and periodically restored in testing?

  • Business applications: Are software subscriptions documented, maintained and integrated where integration would remove repetitive work?

  • Privacy: Are personal information and sensitive business data protected according to their sensitivity and business requirements?

The real test is what happens when something changes

A useful IT infrastructure is not the one with the longest equipment list. It is the one that can absorb change without creating confusion.

A new employee should be able to receive the right access without inheriting unnecessary privileges. A new office should not require rebuilding the entire network. A failed laptop should not stop an employee for three days. A compromised account should have a defined response. A server failure should not become a permanent data-loss event. And when the business adds a new application, someone should understand where it fits into the existing environment.

That is the standard growing companies should use when reviewing their infrastructure: not whether every technology box has been checked, but whether the business can keep operating when conditions change.
